Privacy policy

This policy explains which personal data Netcom Solutions BV processes when you use our website, request a quote or activate a line, why we do so and which rights you have.

We are responsible for processing your personal data as described in this policy. For questions or to exercise your rights, email info@netcomsolutions.be.

2. Data we process

  • Company data: company registration number, company name, address and VAT number.
  • Contact details of the contact person: name, role, email address and phone number.
  • Activation data: chosen plan, number of lines, SIM type (physical or eSIM) and delivery address.
  • Number porting: your current mobile number, SIM card number and customer number with your current provider.
  • Identity verification: the identity document you upload when the law requires it for an activation.
  • Billing and payment data: amounts, payment method and payment status. Full card details never reach us, our payment partner processes those.
  • Website data: IP address, device type, pages viewed and referring source, plus analytics and marketing data only with your consent.
  • Support data: emails, tickets and phone follow-up of your questions.

3. Why we use that data

  • Performance of the contract: SIM activation, number porting, delivery, invoicing and support.
  • Legal obligation: identification on activation, accounting and tax retention duties.
  • Legitimate interest: website security, fraud prevention, abuse detection and improving our service.
  • Consent: analytics and marketing cookies, and commercial emails when you subscribed. You can withdraw that consent at any time.

4. Who we share data with

  • Network operators and suppliers needed to activate your service: Proximus, Telenet, KPN Mobile (NL), Sewan for Digital Voicemail and Starlink for satellite internet.
  • Our payment partner, for processing online payments.
  • IT and hosting providers that run our website, database and email, always under a data processing agreement.
  • Google for analytics and advertising, only when you gave consent.
  • Authorities, when a legal obligation requires it.
  • We never sell your data to third parties.

5. Transfers outside the EU

Our providers work within the European Economic Area in principle. Where a supplier processes data outside the EEA, this is based on an adequacy decision or on the European Commission standard contractual clauses, with additional technical measures such as encryption.

6. How long we keep data

  • Customer and contract data: up to 7 years after the contract ends, because of tax and accounting retention duties.
  • Invoices and payment data: 7 years.
  • Identity documents: only until the activation and legal identification are complete, then deleted.
  • Requests that do not lead to a contract: at most 12 months after the last contact.
  • Google analytics data: at most 24 months, according to Google settings.
  • Your cookie preference: locally in your browser until you clear or change it.

7. Security

  • Encrypted connections (HTTPS) and strict security headers across the whole website.
  • Access to data is limited to staff who need it for their role.
  • Uploaded documents are checked for file type and stored separately and securely.
  • Rate limits and spam protection on forms, uploads and lookups.

8. Your rights

Send your request to info@netcomsolutions.be. We reply within 30 days. If you are not satisfied with our answer, you can lodge a complaint with the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels, contact@apd-gba.be.

  • Access to the data we process about you.
  • Correction of inaccurate or incomplete data.
  • Erasure, unless a legal retention duty applies.
  • Restriction of processing or objection to processing based on legitimate interest.
  • Portability of the data you provided to us yourself.
  • Withdrawal of your consent, for example for cookies or newsletters.

9. Cookies and tracking

On the website we only set necessary cookies without consent. Analytics and marketing cookies load after you accept them in the cookie banner, and you can change or withdraw your choice at any time. Full details are in our cookie policy.

10. Changes

We may update this policy when our services, suppliers or legal obligations change. The date at the top shows the latest version. For significant changes we inform our customers by email.
